eCMS is not fully compatible with
Windows XP. We apologize for this inconvenience.
Windows 95 / 98 / NT / 2000 Installation
Start Windows 95 / 98 / NT / 2000.
Insert setup diskette (1) into your A drive (floppy disk
drive).
Make sure your modem and printer are turned on.
Click on the Start button.
Select Run.
Type A:\Setup and the click OK button.
eCMS setup will begin.
Click Next button to continue the installation. To install
eCMS on the default files click Next button. If you wish to use a
different file to store the program click Browse button and select
the desired file.
Insert setup diskette 2 when the system asks for it and click OK
button.
If you want an eCMS icon to be install on your desk top click Yes
button. If you do not need an icon click No button.
Select Finish button to reboot your computer. The
installations has been completed successfully.
Remove setup diskette 2.
Warning:
This software will not work with windows 3.11 and XP systems
Configuring Your System
Double click on eCMS icon.
Click on Sessions.
Click on Connect Set Up...
On the tab marked User.
Click on Administration button.
On the space next to access code type your access code assigned by the NACM
staff.
Click New button.
On the space next to Operator ID type your initials or the initials of the
person who will be using the program.
Click New button.
Click on the Cancel button.
Press the down arrow next to the Access Code line.
Select your access code.
Note: Your access number is now displayed in
the white box
Press the down arrow next to the Operator ID line.
Select the operators initials.
Note: The initials are now displayed in the
white box
Under the Menu Options check the services you need i.e. Credit Reports,
Notice to Owner and/or Collections.
Click Apply button.
Select the tab marked Company.
Type all the information about your company. The information typed here will
be printed on the reports you pull.
Click Apply button.
Select the tab marked Modem.
Locate and press on the down arrow on the line Modems
available.
Select your computers modem.
If your modem line requires a 9 or any other number in order to dial out
press Dial Properties button.
Make sure the correct area code is displayed.
On the line To access an outside line type the proper number in both sides.
(local and long distance).
If your line has call waiting press the line This location has
call waiting. A check mark will appear on the white box. Press the down
arrow and select the proper code to block call waiting.
Select the proper setting for either Tone dialing or Pulse
dialing.
Click OK button to continue.
Click Apply button.
Note: Your modem is now displayed on the
Current Default line
Select the Housekeeping tab
Notice the system defaults are 7 for Credit Report Archive and 30 for
Archive Administration.
What this means is that every time you pull a credit report, it will be down
loaded and stored in the Credit Report Archive for 7 days at the end of that
period the system will automatically transfer the file to the Archive
Administration file. It will remain there for 30 days and then the system will
automatically delete the file.
Note: You can change any of the default days as you need.
Click Apply button.
Select the tab marked Notice to Owner (Only if you are doing
notices)
Fill out all the blank spaces under the sections marked:
Preliminary
Notice default values
Mailing details
Batch Print
Note: Do not forget to check the box marked
Print file copy
Click Apply button.
Click on the Ok button.
Click on Notice To Owner.
Click on N.T.O. Options.
Find Enter the default value for materials and on
the box to the right type the services you provide.
Find the field next to Enter the default value for signatory name
type the name of the person who is authorized to sign the notice to owner.
Find the field next to Enter the default mail type
and click on the down arrow, scroll and
select the mail type you use the most.
Make sure there is a check mark next to Print file copy.
Select the tab marked Mailing Defaults.
Fill in the postage information.
Warning: The current Postal fees are as
follows:
Postage = $0 .37
Certified Mail Fee = $2.30
Return Receipt Fee = $1.75
Make sure there is a check mark next to Auto Assign.
To the right of Certified Mail prefix enter the first two digits of
the certified mail number.
On the Sequence number field type the remaining 18 digits.
Click on the Apply button.
Select the tab marked Liens and Wavers.
Check all the forms you will be using.
Note: To select or unselect a form you must
click on the name of the form not the box.
Under the Lien prompt select the number of days you want the system to
remind you to do the forms.
Note: The system defaults to 1
Click Apply button.
Select the tab marked Envelopes.
If you are using blank envelopes and you want your company name typed on the
envelope then click on Include Return Address. If you are using
pre printed envelopes then do not use this feature.
Note: When you click on Include Return
Address a check mark appears in the box on the left side. You can also
click inside the box to get the same results.
below find the field labeled Recipients.
Make sure to click the box labeled Print for Certified Mail Only.
Note: When you click on Print for
Certified Mail Only a check mark appears in the box on the left side.
You can also click inside the box to get the same results.
Click the Apply button.
Select the tab marked Green Cards.
If you do not want to print your companys name and address on the back of
the green cards then click the box labeled Skip printing senders details.
A check mark appears inside of the box.
If you are using the old style green card then check the box labeled Print
on revised style cards (July 99).
If you want the job description the be printed in the the green cards then
check the box labeled Include Job Description. If you want your
job reference then check the box labeled Include Job Reference number.
Note: You can only select one of the two
options. Also remember that in order to be able to print green cards you will
need a dot matrix printer.
Click the Apply button.
Select the tab marked Labels.
Note: Do not make any changes at this time.
If you use labels and they are not printing properly, you can change the
settings depending on your needs.
Select the tab marked Mail Log.
If you are using the NACMs preprinted mail log that you can take to the
Post Office then check the box labeled Print on continuous stationary.
If you just want a record of the notices you have done then check the box Print
on single sheet stationary.
If you wish to have your job reference number printed in this report then
check the box Include job reference number.
Note: To use the preprinted forms you will
need a dot matrix printer.
Click the Apply button.
Select the tab marked Batch Printing.
Click on the down arrow to view the different printers.
Select the dot matrix printer.
Note: The dot matrix printer must be install thru windows before you can
use this feature also remember that this feature is only if you are going to
print green cards and mail log reports.
Click the Apply button.
Click on the Ok button.

Requesting Credit
Reports
Double click on eCMS icon.
Click on first Yellow Phone button to connect to NACM.
Make sure the correct information is displayed on the User
Verification screen.
Press Sign on button.
Wait while the system connects.
Read the broadcast message and press the Ok button.
Warning:
If you do not press any keys for three minutes while connected to NACM the
system will give you the option to remain connected or to disconnect. Press the Stay
Connected button or to disconnect press OK button. If you
do not press any keys for a minimum of four minutes the system will disconnect
you automatically.
Click on Credit Reports.
Select Search Request.
On the command line type the name of the company you are looking for.
If you are looking for a specific address, city, state, zip or telephone
number tab down to the specific line and type the information.
Press the Search button.
Warning:
The Search Result List window can not be enlarged. The columns inside the
window can be enlarged to show the full headers by simply placing the cursor on
the lines. While pressing the left mouse button move the mouse to the desired
size then release to button.
A = Also Known As
P = Public Records
C = Comments
T = Trade Lines
B = Bankruptcy
C = Corporate Information
Fl = Flash Comments
When the search is complete select the item you need by clicking on the
name of the report. A check mark will appear on the box to the left of the
report. You may check as many reports as you want. If the report you are looking
for is not listed press the Next 20 button or use the down arrows
at the right of the window to view more reports. If you have an other different
report to search press the Next Search button and repeat the steps
above. If the report you need is not found press the Cancel button
to exit the search mode.
If you want the item to print all your reports automatically without viewing
them check the box next to Automatic Print.
Press the Print button.
If you want to view the item before printing make sure the Automatic
Print box is not checked and press the button marked Retrieve.
At this point the files will be down loaded into your computer.
Warning:
If you do not have any more searches at this point please disconnect from the
system by pressing on the second yellow phone button located on
the top, left corner of the tool bar.
To view and print your report press File.
Select Open.
Select your file.
Press the Open button.
At this point your report will be displayed on your screen.
You may enlarge the screen at this point.
Use the up and down arrows on the right of the screen to view the
report.
To print the report go to File.
Select Print.
Press the OK button to start printing.
From the top menu click once on File.
Select Exit.

Notice Of Commencement
Double click on eCMS icon.
Click on first Yellow Phone button to connect to NACM.
Make sure the correct information is displayed on the User
Verification screen.
Press Sign on button.
Wait while the system connects.
Read broadcast message and then press the Ok button.
Select Notice to Owner from the top menu.
Click on N.O.C. Search.
On the N.T.O. Job Search Criteria Entry window type the
information you are looking for. i.e. Description, General contractor, Owner,
County, Book and Page. Press the Search button.
Note: Remember just like the old system less
is better.
The N.T.O. Research Results List window will display a list of
all the items that matched your request. Notice the heading located in the top,
middle of the window it reads Search in Progress. This message
will change from time to time. Keep an eye on it because it will help you in
your research.
To select a job, just click on the job description and notice that two
things happen:
1. A check mark appears in the box to the left of the job description.
2. The heading (Top-middle of window) now reads 1 N.T.O. Jobs Selected.
If you have any more items to search press the Next Search
button and repeat the same steps. If you do not have any more searches to do
press the Notices button.
Click on the second yellow phone icon to disconnect from NACM.
Click on the Disconnect button.
From the top menu click on Notice to Owner.
Select N.T.O. Offline by clicking on it once.
On the N.T.O. Offline Current Batch window locate the item you
want to work with.
Under the heading Reference you will find the word Unassigned
next to the notice you just downloaded.
Highlight Unassigned by clicking on it once.
On the top menu (eCMS window) click on Current Job.
Select Print Data on the drop down menu.
Note: Your N.O.C. will be sent to your
printer. Notice the heading will now read N.T.O. JOB DATA not
Notice of Commencement

Notice To Owner
Follow the same steps as searching for a notice of
commencement.
Note: You must download the N.O.C. and then disconnect from NACM in order
to prepare your notice to owner.
Click on Notice To Owner located at the top menu.
Click on N.T.O. Offline.
On the N.T.O. Offline Current Batch window locate the item you
want to work with.
Under the heading Reference you will find the word Unassigned
next to the notice you just downloaded.
Highlight Unassigned by clicking on it once.
Click on the Process button.
You must assign a unique job number to your notice.
Note: It can be any number, letter or
combinations up to 20 characters.
Press the Ok button to continue.
The N.T.O. Print Option window will be displayed. Fill out the
blank areas as needed.
Note: Notice there are three sections. What
you type here will be printed on your notice.
Locate the heading N.T.O. Details. To the right of the line
named Customer there is a blank area. Press the down arrow button
and fill in your customers information.
Note: Use your tab key to move from line to
line & use your enter key or the Ok button after you have
finish typing all the information.
Do not make any changes to the Legal Details section .
Locate the heading Recipients.
Click once on the name of the general contractor and press the down arrow to
the right.
Make any corrections if there are any errors on the name or address.
Tab down to the Print Type line. Press the down arrow to view
the options.
The choices are as follows:
S = Standard mail R = Return receipt mail
C = Certified mail
E = Exempt
Click on the desired selection.
Note: If you mark an item as exempt, there
will be no notice printed for this individual however the name will be included
in the other notices.
Click the Ok button.
Note: Notice that once you have selected the
delivery method, the appropriate letter appears before the name on the N.T.O.
Print Option window
Repeat the same steps for the Owners and for the Copies
fields.
If you want the system to print a file copy for your records you must click
in the box marked Print File Copy.
Click the Print button to start printing your notices.
You are now back on the N.T.O. Offline Current Batch window.
If you have more notices repeat all the above steps.
If you do not have any more notices or you have finish printing all you
notices, lets move on to the next stage... printing all the envelopes, green
cards and mail log reports.
From the N.T.O. Offline Current Batch window.
Highlight the first item under the heading Reference by
clicking on it once.
On the main menu (eCMS window) find Batch Print and click on
it once.
Click once on Mail Sheet.
Note: If you are doing more than one notice
a row of checked boxes will appear by the job numbers under the heading Reference.
Also the window is now called Notice To Owner Batch Printing.
Press the Process button.
A message will prompt you to place the proper paper on the printer. Press
the Ok button to continue.
On the main menu (eCMS window) find Batch Print and click on
it once.
Click once on Envelopes.
Press the Process button.
A message will prompt you to place #10 envelopes or the proper size envelope
in the printer. Press the Ok button to continue.
Note: You may have to print various times until you figure out the proper
way to feed the envelopes.
If you do not use envelopes and would rather use address labels. On the main
menu (e CMS window) find Batch Print and click on it once.
Click once on Labels.
Press the Process button.
A message will prompt you to place Avery #8160 or any comparable label in
the printer. Press the Ok button to continue.
Warning: If you use labels do not forget to
write the certify number on the envelope.
On the main menu (eCMS window) find Batch Print and click on
it once.
Click once on Return Receipt.
Press the Process button.
The system will prompt you to verify the senders information. Make any
corrections as needed.
Note: Remember to use the tab key to move to the next line.
Press the Ok button when finish.
A message will prompt you to place the green cards in the printer. Press the
Ok button to continue.
Warning: When printing green cards your
address will be printed first.
After the first side of the green cards are printed, reload the on the
printer and press the Ok button.
After you have successfully printed all of the notices press the Done
button.
Note: If you need to reprint any notice
after you have press the Done button, you may access the notice by
clicking once on Notice To Owner and selecting Liens &
Wavers. Select the notice you need by clicking once on the Reference
number and then press the N.T.O. button. Make the necessary
corrections and print your notice.

Sending Your N.T.O.
Request
Click on Notice To Owner located at the top
menu.
Click on N.T.O. Research.
Click the Insert button.
Fill out all the fields in the N.T.O. Research Data Entry
window.
Click the Ok button.
If you have additional researches to key repeat the steps above.
If you made any errors simply click on the research to be corrected and the
click the Edit button. Make the necessary corrections and click
the Ok button.
If you want to delete a research click on the item under the heading Delivery
Date and then click the Delete button.
Click the Print button if you want a copy of all the items you
are going to send.
Click the Save button.
Click on the yellow phone icon located on the top left hand side of the
screen.
Make sure that your access code, operator id and Orlando server are
displayed in the User Verification window.
Click on the Sign On button.
Read the broadcast message and press the Ok button to
continue.
Click on Notice To Owner located on the top menu.
Click on N.T.O. Research.
Under the field Delivery Date find and click on the first
research item.
Click the Send button.
The NTO Research Type window will open and give you the following choices:
Perform NTO Research and send NTO Preliminary
Notice(s).
Perform NTO Research only.
At this point you will see a message indicating that your researches has
been down loaded successfully.
